1. Data we collect
- Business details you provide at checkout: business name, tax ID, phone, email and address.
- Staff data: names, email addresses, phone numbers, roles and sign-in activity, used for authentication and audit.
- Customer data your business records: name, phone, email and purchase history, used for loyalty, receipts and returns.
- Transaction data: sales, payments, stock movements and cash records.
- Website enquiries sent through our contact form.
2. How we use it
Data is used solely to provide the Service — processing sales, managing stock and returns, sending receipts and one-time codes by SMS, billing your subscription and answering your enquiries. We do not use your customers' data for our own marketing.
3. Sharing
We do not sell or rent personal data. We share it only with the processors needed to run the Service — Paystack for payments, SMS and email providers for messages, and our hosting providers — or when required by law.
4. Security
- Data is encrypted in transit; passwords and PINs are stored as one-way hashes.
- Each business's data is isolated, and access within a business is restricted by role and branch.
- Accounts lock after repeated failed sign-in attempts, and important actions are recorded in an audit log.
5. Retention
Business and customer data is kept for the life of your subscription and as long afterwards as the law requires. A frozen account's data is kept intact. You may ask for your data to be exported or deleted when you leave.
6. Your rights
Wherever you are, you may request access to, correction of, or deletion of your personal data. We handle requests under Ghana's Data Protection Act, 2012 (Act 843), where Trantore is based, and respect the data protection rights you have under the laws of your own country. Staff should contact their business administrator; businesses can contact us directly.
